Petersen Automotive Museum

The Registrar administers all functions of registrarial and collections management relating to the Museum collection objects and artifacts.  The Registrar is responsible for ensuring the safety and integrity of the collection objects and artifacts and loaned objects and artifacts by accurately documenting, tracking and maintaining the inventory and insurance of objects and artifacts for all in-house, loaned or outside special event activity, such as participation in car shows.  The Registrar works directly with both Curatorial and Collections staff on executing exhibitions, as well as managing numerous single loans.

Essential Functions

  • Develops and organizes operational procedures and policies for the Registrar¹s Office, regarding the activity of the Museum¹s collection materials including all accessions, de-accessions, loans, exchange transactions, storage and preservation and maintenance of the database and file inventory.
  • Oversees all incoming exhibition loaned objects; generates loan agreements; prepares condition reports and participates in the careful and proper handling of objects and artifacts for gallery installation.
  • Coordinates the logistics and budgets for domestic and international shipping and vehicle transportation, crating, installation and customs clearance for Museum objects, artifacts and exhibition items on loan to third parties.
  • Prepares and maintains insurance policy renewals and processes any associated claims.
  • Maintains and keeps current all automotive licenses and fees, including DMV-related matters
  • Interfaces with other Museum departments at Curatorial, exhibit planning, administrative and other related meetings to discuss and advise on matters pertinent to Office of the Registrar.
  • Supervises personal as assigned in matters pertaining to the processing of paperwork, responding to public inquiries, moving and setting objects and artifacts either within or outside of the Museum.
  • Design, update and revise Museum forms pertaining to the collection, loans, receipts, shipping and receiving and release of Museum objects.
  • Write reports as requested by Director, General Manager, and/or Curator for senior management and Board of Directors reviews.
  • Maintain the Museum’s objects and artifacts records in accordance with national Museum standards.
  • Assist in the procedural preparation of accreditation paperwork.

Other Responsibilities:

Performs other work-related duties as assigned by supervisor and senior management.

Education, Experience and Skills Desired:

  •  BA/BS College degree in history, museum studies or related field.
  • Four years of registrar related work experience.
  • Computer proficiency and experience with databases such as FileMakerPro, TMS, MS Office suite and MS Access or similar collections database management software.
  • Strong interpersonal communication, organizational and management skills; detail-oriented work profile.
  • Ability to interface with donors, lenders, and museum colleagues on a highly professional level.
  • Team player who can smoothly manage interoffice activity and work well under deadlines
  • Current California driver’s license and good driving record
